Purpose and Scope of work/deliverables
Agencies are invited to submit proposals for the provision of Public Relations Services in the form of monitoring, evaluation and crisis management activities to Joint Aid Management Global.
Joint Aid Management requires assistance with effectively managing a recent communications issue, as well as the implementation of measures and procedures to mitigate such issues in future. Furthermore, Joint Aid Management requires training for a formal company spokesperson, assistance with drafting crisis response materials, and a public relations campaign for the benefit of restoring donor confidence and to promote the organisation to potential donors.
Scope of Work
The agency is required to:
- Understand past and present operational challenges, through research, and in doing so, define the current situation and its requirements
- Develop a strategic communications and public relations plan, to use both internally and externally, for Joint Aid Management Global through an understanding of the organisations various programmes and affiliate countries associations
- Provide ongoing planning and consultation to Joint Aid Management marketing and communications department to best position the firm with relevant stakeholders
- As a partner to this department, the agency will be expected to work alongside the team in developing holding statements, spokesperson training, and a six-month-long public relations campaign in aid of donor attraction
- Identification of key internal and external stakeholders and support initiatives to achieve the desired positioning of the firm in the eyes of our public/s
- Coordination, training and guidance on the effective use of social and digital platforms
The overall objective of this appointment is to advise on a strategic approach to mitigate the crisis as a result of a communication error, as well as ensure that the organisational reputation is restored, and improved.
Deliverables/ Expected outputs
- Identify errors in notification systems, improvement thereof and development of formal crisis communications
- Monitoring and evaluating current stakeholder communication systems (internal and external)
- Internal and external stakeholder communications plans
- Spokesperson/ media training, with correct skills, including written and speaking engagements (eg: thought leadership articles etc)
- An interim report detailing the progress against deliverables at six weeks
- Support branding and marketing efforts in order to position the organisation in a more favourable light
- Digital and Social Media messaging improved methods
- Documented framework for strategic response to crisis management for future use
- Understanding of the NGO sector, programmatic challenges and what it takes to attract and keep a donor
- Professional background and competence as a registered public relations organisation (10 years plus experience)
- Positive market reputation
- Existing client base
- Relevant industry specialists (eg: Researcher)
- Experience and success in creating and implementing a results-driven public relations campaign for similar organisations
Duration of the assignment:
It is envisioned that this consultancy will be no longer than 90 calendar days
